01 / PLAN THE NIGHT

Start with access

Where can the performers load equipment? Is there a service entrance, elevator, ramp, or flight of stairs? What times are available for setup and teardown? Where can vehicles park after unloading? Share these details for downtown properties and suburban venues alike; the practical route matters more than the address alone.

02 / PLAN THE NIGHT

Check the performance area

Send a floor plan or clear room photos. Identify where the pianos could go, where guests will sit, and how people will move to the bar, buffet, exits, and restrooms. Keep sightlines open and service routes clear. Ask the booking team to confirm the actual footprint for the proposed equipment rather than borrowing a dimension from another provider.

03 / PLAN THE NIGHT

Confirm power and sound

Ask the venue where suitable power is available and who can answer electrical or AV questions. Share any house sound system specifications, volume limits, or restrictions on outside production. The team should confirm which equipment is included and whether the venue needs to provide anything additional.

04 / PLAN THE NIGHT

Make outdoor plans specific

An outdoor event needs a suitable performance surface, weather protection, power arrangements, and a practical backup plan. Ask how wind, heat, rain, and changing conditions will be handled before confirming the setup. An attractive patio does not automatically make a workable performance location.

05 / PLAN THE NIGHT

Write down the schedule

Include venue access, setup, doors, dinner, speeches, the live performance, breaks, and the required finish time. Add time for load-out. Share the schedule with the planner, venue contact, and entertainment team so the show is not competing with a key announcement or room turnover.

06 / PLAN THE NIGHT

Name one event-day contact

Choose someone who can answer questions while you enjoy the event. Give the team that person’s name and contact details through the planning process, along with vendor rules or document requirements. Reconfirm any changes before event day instead of assuming everyone has the newest version of the plan.
