01 / PLAN THE NIGHT

Arrival and welcome

Decide what guests will hear as they arrive and who will make the opening announcement. If you need music before the live show, discuss how it will be provided. Put introductions on the schedule and share names, pronunciations, and the person responsible for the cue.

Confirm songs and versions for a first dance or other planned dances well before the event. Ask whether the music will be performed live or played as a recording. Put that decision in the plan, including any edited length or transition you need.

Once the formal moments are complete, the piano show can become a shared celebration. Invite guests to participate in the way that suits them. Tell the performers about music favorites, the mix of ages and tastes, and any boundaries for comedy or spotlight moments.

Confirm the performance schedule and how any breaks will be handled. Plan cake, late-night food, photos, or other activities around the agreed timing. Give your last song and send-off enough room before the venue’s ending time. The final timeline should match the actual contracted coverage.
